Data Protection & Confidentiality Principles

FinFile processes transaction data and compliance documentation solely to enable reporting entities to fulfill their statutory obligations under the PCMLTFA. Customer data is handled with strict organizational and technical security controls.

1. Personal Information We Process

In our capacity as a diligence automation and compliance custody platform for Canadian reporting entities under the PCMLTFA, FinFile processes data strictly on behalf of licensed brokerages:

  • Client Identification: Legal name, date of birth, residential address, government photo ID metadata.
  • Transaction Context: Purchase agreements, deposit receipts, closing dates, source of funds declarations.
  • Compliance Audit Metadata: Officer sign-offs, human reconciliation notes, SHA-256 evidence logs.

2. Processing Scope & AI Usage

FinFile processes transaction documents strictly to generate deterministic compliance findings and extract transaction facts for broker review. Document contents are processed only for the dedicated execution of brokerage compliance tasks and are not repurposed.

3. Statutory 7-Year Retention & Cryptographic Custody

Under Canadian PCMLTFR Part 1 and provincial real estate council regulations (including BCFSA and FSRA), brokerages must preserve complete compliance transaction records for a minimum of 5 to 7 years. FinFile provides immutable, timestamped custody with verifiable SHA-256 cryptographic digests ensuring document integrity during regulatory audits.
